Privacy notice

Plain English, in the order most people actually want it: what this site collects, why, who touches it, and how to get it back or get rid of it.

Operational draft — under legal reviewThis document describes how the site actually works today. It has been written by the Auto Agentic team for review by qualified counsel and is not a statement that counsel has approved it. Where something is still being decided, it says so.

The short version

  • Ask the advisor without telling us who you are. Your questions are stored against a random ID kept in your browser — not a name.
  • Tell us who you are only when you fill in a form: a meeting request, a book request or a privacy request.
  • If you send a meeting request from a conversation, that conversation is linked to your name and email. That is the one place the anonymous side and the identified side meet, and you choose when it happens.
  • We do not sell or share personal information, and we do not run advertising or analytics trackers on this site.
  • You can ask for a copy of what we hold, a correction, or deletion at any time.

Who this is about

This notice covers this website — the advisor, the walkthrough, the book request, the agent library and the policy pages. It does not cover work we do inside a signed customer engagement. Engagement data is governed by the agreement with that dealer group, not by this page.

Auto Agentic operates from Ontario, Canada. Canadian federal private-sector privacy law (PIPEDA) is our baseline for this website. Whether other laws also apply to you depends on where you are; we handle rights requests on their merits rather than by geography, but we are not publishing a claim of GDPR or CCPA compliance on this page until counsel has reviewed it.

What you give us

Nothing on this site is required in order to read it. These are the four places you can hand us something.

  • Advisor questions. The free text you type or dictate, and the answers the advisor gives back. Both are stored so your conversation can continue and so you can come back to it.
  • Answer feedback. If you mark an answer helpful or not helpful, we store that mark against the message.
  • Meeting or contact requests. Name and email, plus optional company, phone and a note you write.
  • Book requests. Name, email, whether you are a dealer or another kind of organization, your organization name, and — if you picked “other” — the type of organization.
  • Privacy requests. The email you want us to reply to, an optional name, an optional conversation reference, and what you are asking for.
  • Administrator accounts. Auto Agentic staff who use the internal tools have an account with an email address and password. That is staff data, not visitor data.

Please don’t paste this inThe advisor is a free-text box, so it will accept anything. Do not type passwords, payment-card numbers, driver’s licence or SIN numbers, individual customer records, deal jackets, or anything covered by a confidentiality obligation. Describe the situation instead — that is all the advisor needs, and it keeps sensitive data off this website entirely.

What the site records on its own

Only what is needed to make the conversation work and keep the site standing up.

  • A random session ID. Generated in your browser the first time you ask something and stored in that browser’s local storage. It is a random identifier, not a name, and it is what lets your conversation carry on across pages. Clearing your browser storage ends it; starting a new conversation replaces it.
  • Timestamps on every conversation, message, request and feedback mark.
  • Which surface you asked from — the ask page or the site — recorded as a short label on the conversation and on contact requests.
  • Book request source and campaign parameters. If you arrive at the book page through a link carrying UTM parameters, those parameters are stored with that request so we know which link brought you.
  • A short-term request counter used to rate-limit the advisor, keyed to your session ID.
  • Operational logs generated by our hosting and database platforms, which record technical request data such as IP address and user-agent for security and reliability. We do not build visitor profiles from them.

We do not store a referrer, a device fingerprint or a marketing profile beyond what is listed here, and there is no advertising or analytics tag on this site.

Why we use it

  • To answer your question and keep the thread of the conversation going.
  • To let you return to a conversation you already started in the same browser.
  • To fulfil what you asked for: a meeting, the book, or a privacy request.
  • To keep the site secure and available — rate limiting, abuse prevention, error diagnosis.
  • To understand basic performance: how many conversations, requests and answer ratings there are.
  • To improve the governed content the advisor answers from, by reading where answers fell short.

We do not use anything collected here for advertising, and we do not use your questions to build a profile of you as an individual.

Anonymous conversation, identified request

This distinction matters, so here it is precisely. A conversation is stored against the random session ID. It carries no name and no email until you send one.

When you submit a meeting or contact request from within a conversation, the system does two things: it saves the request, and it writes your name, email and company onto that conversation and flags it as identified. From that point, the team can read that conversation next to your request — which is the point of asking for a meeting.

A book request is stored on its own and is not linked to a conversation. A privacy request is stored on its own; you can optionally include a conversation reference so we can find the right records.

AI answers and human review

Answers are generated by a large language model, prompted with Auto Agentic’s governed knowledge — our own written material about how we work. Your question is sent to the model provider through the Lovable AI Gateway in order to produce the answer. Answers can be incomplete or wrong; nothing the advisor says is professional advice, and the site tells you so at the point of use.

Stored conversations can be read by authorized Auto Agentic staff through an internal, access-controlled tool, for support, safety and answer quality. In list views, names and emails are masked; a full transcript is opened deliberately, one at a time, and that action is written to an internal audit log.

We do not make automated decisions about you that produce legal or similarly significant effects.

Who else processes it

We name only what is actually wired into this site. If a provider is not on this list, it is not in the path.

  • Lovable — the platform this site is built and hosted on, and the operator of the AI Gateway that routes advisor questions to the model provider.
  • Supabase — the managed database and authentication service that stores conversations, requests and staff accounts.
  • The model provider behind the gateway — the large language model that generates the answer text. Questions are sent to it to produce a response.
  • Google Fonts — the typefaces on this site are requested from Google’s font servers, which means your browser makes a request to Google when a page loads.
  • YouTube — videos are click-to-load. Nothing is requested from YouTube until you press play on a specific video; before that, you are looking at our own still frame. Once you press play, YouTube’s privacy-enhanced player loads and YouTube receives the request.

We have not connected a CRM, an email-sending service, a calendar or scheduling tool, or an analytics product to this site. When we do, this list changes first.

Where it is processed

Our platform providers operate infrastructure in multiple countries, which means data handled by this website may be processed or stored outside Canada, including in the United States, and may be accessible to authorities in those countries under their laws. We have not published a data-residency commitment for this website, and you should not read one into this page. Residency for a customer engagement is a separate architectural decision made with that dealer group.

How long we keep it

Straight answer: there is no automatic deletion schedule running on this website today. Conversations, requests and feedback are kept until someone deletes them, and deletion is done manually through the internal tool.

A formal retention period is under review and has not been approved. Rather than publish a number we are not yet enforcing, we are telling you the actual state and giving you a way to act on it now: ask us to delete your conversation or your request and we will, using the deletion capability already built into the internal tool.

Flagged for counselRetention periods for advisor conversations, contact requests, book requests and internal audit logs need to be set and enforced before this site is published.

Your choices and rights

Depending on where you live, you may have the right to ask for access to the personal information we hold about you, to have it corrected, to have it deleted, and to withdraw a consent or object to a particular use. We handle these requests through one route:

Make a privacy request

  • We will take reasonable steps to confirm you are who you say you are before acting — usually by replying to the address you gave us. Please don’t send identity documents; we don’t collect them through the form.
  • For an anonymous conversation, the only handle that exists is your session reference. If you can give it to us, we can find and delete that conversation. If you can’t, we may not be able to identify it, and we won’t guess.
  • Some rights are jurisdiction-dependent, and there are situations where law lets us keep certain records. If we can’t do what you asked, we’ll tell you why.
  • We aim to respond promptly. We are not publishing a fixed response deadline on this page until counsel has confirmed the commitment we should make.

You can also simply clear your browser’s storage for this site, which ends the session link between your browser and the stored conversation.

Cookies and browser storage

This site does not use cookies to track you, and there is no consent banner because there is nothing non-essential to consent to. Here is everything that is stored in your browser:

  • Local storage — your advisor session ID. A random identifier so your conversation continues. Strictly necessary for the feature to work.
  • Session storage — a pending question. When you tap a suggested question elsewhere on the site, the text is held for a moment while the page moves you to the advisor, then removed.
  • Local storage — a staff sign-in session. Set only on the internal tool, only after an Auto Agentic administrator signs in. Visitors never receive one.

There are no advertising cookies, no analytics cookies and no marketing pixels. If that ever changes, non-essential scripts will be off by default and you will get a real preference control — not a pre-ticked box.

Security

Access to stored conversations and requests is restricted to authenticated Auto Agentic administrators, enforced at the database layer as well as in the application. The security and data boundaries page sets out what is active today and what is still under review. No system is perfectly secure, and we do not promise that one is.

Children

This is a business website for automotive operators. It is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us something, tell us and we will delete it.

Changes

When this notice changes materially we update the effective date at the top and describe the change here. Continuing to use the site after a change means the updated notice applies to you.
